  • apologize
  • explain why you will not be available
  • tell him/her what alternative arrangements you have made

Dear Jenny,

Thanks so much for your letter; it was great to hear all your news and about your plans to visit.

Unfortunately, the week you will be here – I won’t be – because my company is sending me to a conference out of town. Normally I would try to cancel it but I’m one of the speakers, so there’s no way for me to get out of it. I hope you understand, I’m truly sorry that I won’t be here to greet you and show you around.

The good news is that you can stay at my place while you’re here. I’ll arrange for my neighbor to have the keys and you can collect them from him; he’s nice, I think you’ll like him. Please make yourself at home and feel free to use my car for getting around.

I hope that we’ll be able to meet up, at least for a short while, before you have to return home.
